Moving the Business-side
of Trucking from paper to Paperless
Beginning January 2012, we will escalate our mission
to help truckers move their business from paper to paperless, with a
paperless Financial and Tax reports delivery system to give 24/7
access to financial and tax reports.
Under
this paperless system, as we process our clients business
information each month or quarter, instead of sending a quarterly
statement or tax report by regular mail or E-Mail, we will now
deposit these reports into a special client access folder on a
secure server, provide clients with user name and password, to login
and view or print their quarterly or year-end statement and tax
reports as required.
This
way, once the financial reports are ready for delivery to our
clients, we will simply send an email stating,
"Your reports are ready and available"
Clients
will be able to login from anywhere using any computer with Internet
access and view or print their reports. This way, if they needed a
copy for a meeting with a Bank or Financing institution, they will
have it. This can also be done right from the desk of the account
manager during the meeting.
It will
become a unique Truckers financial statement and tax returns always
available storage cabinet. This also mean that our client will be
able to resist the temptation to print a copy of reports since it
will always be available in their secure filing cabinet on the
Trucktax server.
This
will also save our client money in printer toner cost, paper cost
and in the event they printed a report and it got smudged or
suffered a coffee spill, no problem they can print another.
Now as
our clients embrace this paperless system, they can elect to taking
it to the next level, by sending us their business information for
processing the same way. Simply depositing copies of their invoices,
receipts, tax forms and other information for us to download.
Sending
us their business information/documents for processing by depositing
them into our document management server, simply means scanning the
documents and receipts, login into our secure document management
server and depositing the information for us to access and download.
This
form of document delivery system will result in more cost savings to
our clients in postage, time and paper.
Printers
today are low cost and equipped with easy to use scanners that
allows anyone to scan a document, save it as a pdf., to be easily
sent as an email or uploaded to Trucktax.
The Bottom-line:
To help
our client embrace this paperless system, we are planning two
seminars. One in January and one in February to demonstrate how to
use and benefit from this new way of moving their business from
paper to paperless.
