            Why Trucktax Bookkeeping and tax Service? 

Our business process management system is customized to meet and manage all of the business expense, related credits and deduction available to Independent Truckers.

We do not use off-the-shelf bookkeeping software.  Instead, your bookkeeping done by Trucktax, is done using our own unique Custom developed Bookkeeping System.  This way we are able to adjust and enhance our accounting software as required to meet any and all tax changes and deductions that will benefit our clients.

Our system is designed to professionally manage the source documents and information provided, and capture, process and generate meaningful Financial reports  for tax reporting, business management and tax audit management and support.

Our customized Bookkeeping System for Truckers and Small Fleet Owners, allows us to simplify the audit process in the event of an audit by CRA or WSIB, by selecting and providing detailed transaction audit reports not available from any other bookkeeping system today.

As a result, when one of our clients are notified that their books are to be audited, we are able to provide the auditor with audit reports that detail the areas they wish to review, simplifying the audit process and in most cases cause the audit to be finalized as a desk audit instead of a detail at your home audit.

In addition, as a result of our system of capturing and processing the business information provided by our clients, even an audit at your home is simplified, with our detailed audit reports that support all of the business information processed and reported.

In addition, we have utilized the application of Technology to create an easy to use on-line bookkeeping information-submit system to allow clients with computers, to submit their bookkeeping information from the comfort of their home or office 24/7 from any computer with Internet access.

This process is further simplified by the fact that the user needs no bookkeeping software experience. They simply login and enter the income and expense amounts and click submit.

In the area of convenience: 

We offer clients three ways to use our service, making it easy for clients to access professional bookkeeping and tax services without having to leave home or go across town or across the city.

Similarly, we make it easy for existing clients to have productive financial and business management meetings with us and receive hardcopy feedback if required, without having to leave the comfort of home.

Level 1.

Here, clients would simply place all applicable business income and expense information, as per the how-to-use our service checklist provided at the time the service was setup, in an envelope; and using the mailing address label we provide, send or deliver to us at the Markham address.

Level  2.

Here, clients would use the online Bookkeeping information delivery ledger to send us the applicable business income and expense information on a weekly or monthly basis, at his/her convenience, from anywhere, using any computer with Internet access 24/7.

 

Level  3.

Under this service system, Trucktax provides clients with a set of easy to use customized forms to be used weekly and/or monthly to fill-in their business and income expenses in the applicable expense and income fields, and fax these to us as available weekly/monthly at his/her convenience.  

The Document Management Process - Envelope system clients:

As the Business information envelopes are received from our clients, these envelopes are stamped with the received date and assigned to the bookkeeping clerk designated to handling the document preparation and bookkeeping processing function.

 The clerk begins by opening the assigned envelopes and removing the business papers.  These are then sorted into bundles of GL Chart-of-Account numbers.  These bundles are stapled by chart of account and counted individually and the totals and chart-of-account numbers are noted on the bundles.  

The clerk then enters this information into the document management section of the client's bookkeeping ledger.

The Management Process for Online and Fax System Clients:

This process is similar for the online clients as well as the fax forms clients.  The difference is the chart-of-account system.  For these clients, the information received is sorted by entering the information sent to us by the clients into a pre-audit file and sorting them similarly into chart-of-account file rows. 

This information is then printed and attached to the source information sent to us by this client group and assigned to the applicable bookkeeping clerk who enters the summary information into the information management section of the client’s bookkeeping ledger.

Next, the clerk proceeds to enter the business information into the client’s bookkeeping GL account. After the data is entered, an audit report is printed and reviewed by the bookkeeping supervisor.  This review includes a comparison of expense categories with prior months and the percentage of gross revenue relationship GST/HST audit file report is next reviewed as well as the break-even analysis report.

After the review, if applicable, a monthly Profit/Loss statement is sent by email to the client. If this is the end of the business quarter, a quarterly Profit/Loss statement including an operating analysis report and a copy of the GST/HST return filed if client is on quarterly filing, are sent by email to the client.

At the business 3rd quarter, we give clients a quick view of their potential tax status come year end, by creating and sending a tax liability projection report of the potential business profit/loss status with recommendations as well as a year-end balance sheet verification form.

Year-end Procedures – Corporation Tax clients:

At the business year-end, if the business is a corporation, the corporation tax return is prepared and a copy of the summary is emailed to the client with a note asking him/her to call us for a brief year-end pre-corporate tax filing meeting.  After the client call and the brief year-end meeting, the corporation tax would be finalized and e-filed with CRA and a client copy emailed to the client.

Year-end Procedures – Proprietorship clients:

Similarly, if the client business is operated as a proprietorship (not a corporation) the personal tax would be prepared for the owner and spouse and a tax summary emailed to the client, with a request for her/him to call us for a brief year-end pre-tax filing meeting.  After the client call and the meeting, the personal tax return is e-filed and a copy sent to the client by email.

Personal Tax Procedures for Corporation Tax Clients:

The personal tax returns would be prepared for the corporation owner manager and spouse and a tax summary emailed to the client, with a request for her/him to call us for a brief year-end pre-tax filing meeting.  After the client call and the meeting, the personal tax returns are e-filed and a copy sent to the client by email.   

Dependable Support  Communications and Convenience:

Trucktax offers clients an always available system of contacting us and getting feedback.  This way, our clients can talk with us 7 days per week, as required. 

The reason!  We know from experience that the changing face of the trucking industry requires today’s trucker to focus on driving and servicing the equipment, so meeting with an accountant during the primary work days of Monday-to-Friday can be challenging and usually cause the busy owner/operator to ignore the bookkeeping and tax side of trucking, which over time creates numerous problems and loss tax saving opportunities and timely decision making.

At Trucktax, we have solved this challenge for the busy owner/operator by being always available just a phone call away, Monday through to Sunday.

Here is how:

Clients can call us any day, Monday to Friday at our regular office number and on a Saturday or Sunday at our special week-end telephone number. If our phone is busy, simply leave us a brief message and we will return the call within 2-4 hours. 

In addition, clients can go to the contact page on our website and send us a message to request a call-back on a week-end or to schedule a telephone meeting and we will reply within 2-4 hours.

Alternatively, clients can send us an email any time, and we will reply the same day by email or by phone.

Getting Started  It's Easy convenient hassle free: 

We make it easy for clients to use our service as well as to get started using our service.  We offer clients two easy options.

Option 1. Contact us

Click the contact us link, which will display a page that allows the potential client to send us information and request us to contact them for a brief meeting about having Trucktax provide bookkeeping and tax services for their business.

Option 2. Contact us

From our website, click on the Bookkeeping link. This will take you to the bookkeeping information page. Once there, simply click the “request a quote” link. This will take you to our quote request form.  Complete the form, all that applies. Click the submit button at the bottom of the page when done and we will contact you as soon as this information is received.

Forward Action:

In response to your request to be contacted under option 1 or option 2, we will call you for a brief telephone meeting. After the meeting, we would direct you to the “getting started” link on our website to allow you to print a set of information forms and complete these and fax or send to us with the applicable business information needed to setup your business bookkeeping system, and begin doing the work and being available as your representative with CRA as required.

As soon as these completed forms are received, we will send you a copy of our terms of engagement and an invoice indicating the deposit due now, and the monthly fee payment schedule going forward to your business year end, along with a copy of our pay-by-credit card form.  Simply read and sign the terms of engagement form, complete the pay-by-credit card form for the amount currently due and fax these to us.  As soon as we receive this information, we will do the following:

If you are a monthly envelope system client:

We will send you by express mail a set of pre-printed return address labels.  The labels will be addressed to Trucktax going to our Markham address.  The label will also include your Mailing address as to sender.  In addition, on the label, will be a section asking you to indicate the month for which the information being sent is for and a section asking you for your total trucking miles for the month.

If you are an online service client:

We will setup your online user name and password access to the bookkeeping information submission ledger and send this to you by email.  Following the email, we will call you and setup a time for us to walk you through using the online system.

If you are a Fax Forms service client:

We will send you an email with the applicable forms for you to use to send us the business information each month.  Following the email, we will call you for a brief orientation meeting or to setup a time convenient to you when we could walk you through using the forms.
